Managed Video Conferencing Services

Achieving Better Business Communications

Is it right for my business?

  • standard
  • advanced
  • premium

Many companies are using collaboration technologies to limit travel time and expense and improve productivity. But the collaboration infrastructure still requires dedicated technical and support resources to ensure quality user experiences and seamless operation. That’s where TELUS can help. The TELUS Managed Video Conferencing Service provides a complete solution including infrastructure, endpoints, implementation and management, help desk and video-ready managed networks. With TELUS Managed Video Conference Services, you can support the execution of effective meetings without the technology risk.

  • Simplify procurement, deployment and management of video conference capabilities
  • Choose the options that suit your technology strategy – pay per use or fixed prices; rent or own
  • Direct IT resources to business-focused tasks rather than managing collaboration infrastructure

Key Features and Benefits

Companies that try to run a video conferencing service in-house usually only have one or two resources available to run and manage the service. But with the significant capital investments required for an in-house solution, relegating the responsibility to one individual without targeted skills can create unneeded risks for your company. You require specialized staff, but budget constraints make it difficult to prioritize hiring for video conferencing services alone.

With the TELUS Managed Conferencing solution, you receive a trained team that draws upon 15 years of TELUS’ experience. Our dedicated resources run and manage your conferencing systems based on best practices as well as guiding your future strategies. The result is a high quality, reliable conferencing service that can be implemented in a shorter timeframe at a fraction of the cost of an internally supported service.

  • TELUS trains internal staff so they know how to place and receive calls, move cameras, share documents and where to ask for help with the service
  • Access support personnel via a centralized help desk during business hours of operation across all endpoint time zones including scheduling, technical support and hardware failure/warranty swap-out
  • Receive expert management for ISDN and IP video conference endpoints
  • Minimize capital investment by using TELUS hosted conference infrastructure or leverage TELUS management expertise to reduce support overhead
  • Conference worry-free across TELUS Managed Networks designed for simultaneous voice, video and data

For effective video conference support, you want to choose a cost-effective option that provides scalability and control. TELUS maintains a central help desk with remote management and trouble shooting tools that can augment the capabilities of your on-site support staff. With remote support, you can minimize service restoration delays by eliminating the need for on-site visits.

  • Global single point of contact for service calls relating to help desk, scheduling, network issues, telecommunications issues, TELUS warranties and third party warranties
  • Certified representatives who are trained on IP, ISDN, major video endpoint and video multipoint hardware
  • Pay-per-incident or unlimited help desk support programs
  • Bilingual (English and French) support
  • Major incident reports and monthly summaries by endpoint

For organizations running multipoint video conferences, there are many considerations and challenges to account for. First, procuring the hardware can be expensive and managing it can be complex. Capacity requirements are difficult to anticipate, creating challenges in budget planning. And ensuring that you have the right network capabilities in place to support the conferences requires engineering and implementation. TELUS offers three different managed video conference infrastructure solutions:

  • On-premise Remotely Managed Conference Service – for companies that own Polycom or TANDBERG multipoint conference bridges on-site, but require more of a sophisticated support function. Options include help desk, scheduling, live operator, capacity management, warranty and service configuration
  • Hosted Shared Conference Service – for companies starting out with video conferencing, TELUS provides a pay-per-use solution, hosted in one of TELUS’ state-of-the-art data centres
  • Hosted Dedicated Conference Service – for frequent video conference users, TELUS offers unlimited use conferencing for a fixed monthly fee; the infrastructure is located in one of TELUS’ state-of-the-art data centres

*Companies can transition from Hosted Shared to Hosted Dedicated within their contract period without penalty to accommodate for growing conferencing use.

Conference management options include:

  • 7/24 web scheduling
  • operator scheduling
  • on-demand reservation-less
  • operator assisted
  • event coordination
  • meeting recordings
  • web casting

Regardless of whether you are conducting video conferences from a desktop or a high end auditorium, TELUS provides endpoint management to ensure seamless execution. Services include engineering design, procurement, project management, installation, training, warranty and finance options.

  • Existing endpoint or new endpoint management
  • Global on-site or “spare in the air” advanced equipment swap out
  • Global management options include address book, phone number, software version, proactive endpoint availability/fault management
  • Equipment options include leasing/rental from 12 – 60 months, lifecycle management and buy back/trade in
  • Global support from TELUS’ single point of contact help desk
  • TELUS on-site technicians available throughout Canada
  • TELUS certified partners with on-site technicians available globally

Network quality is essential for video conference reliability and service integrity. For IP-based networks, they need to be designed and constructed properly to support video conference capabilities. TELUS IP Networks have been architected to ensure redundancy and multiple quality of service levels, including real-time IP video traffic and IP voice. Fully managed, TELUS IP Networks deliver the network quality needed for effective video conferences.

  • Multiple quality of service levels on the same wide area network connection enables best-effort internet traffic, prioritized enterprise data, prioritized IP video conferencing and prioritized IP voice calls
  • TELUS management for routers, help desk, configuration, installation and project management
  • Web portal to monitor availability, issues and performance
  • Redundant core architecture for 99.9% availability
